Using the Library for Meetings & Community Events

The Greensboro Free Library offers meeting space for community groups, public meetings, and local organizations by advance reservation. In a town with limited public meeting space, these rooms support collaboration, civic engagement, and shared community work.

Meeting room use is subject to availability and library policies.

Available Meeting Spaces

Large Meeting Room (Second Floor)

  • Primary meeting and event space

  • Accessible by elevator or stairs

  • Maximum occupancy: 49 people

  • Suitable for meetings, presentations, workshops, and public events

Small Meeting Room (Second Floor)

  • Elevator access available (stairs are steep)

  • Table seating for up to 8 people

  • Best suited for small meetings or planning sessions

  • Available for private use during library hours

How to Request a Meeting Room

    These guidelines outline expectations for room use, responsibilities, and general policies.

  3. Submit a Meeting Room Request Form
    Requests are reviewed on a first-come, first-served basis as space and staffing allow.

    A calendar below shows scheduled meetings and general availability.

    Meetings held outside of regular library hours require advance approval by the Library Director and are subject to staffing and building availability.

Room Use & Responsibilities

A designated contact for each meeting or event must complete the request form and is responsible for:

  • Setting up the room and returning it to its original condition

  • Cleaning, trash disposal, and stacking chairs

  • Closing windows, resetting heating or cooling, and securing the building as needed

  • Making arrangements for building access if the meeting is held outside library hours

The designated contact and group are responsible for any damage, misuse, or loss of library property.

After the meeting, the designated contact must provide the library with the total number of attendees to support required town and state reporting.

Guidelines

  • All attendees must follow library rules

  • Use of the meeting room includes access to the public bathroom on the first floor

  • Other library spaces may not be used without prior permission

  • Children must be supervised at all times

  • Attendance may not exceed the posted maximum capacity

  • No alcohol or smoking is permitted

  • Light refreshments are allowed

Equipment & Technology

The large meeting room includes:

  • 6 folding tables and up to 49 chairs

  • Large TV with HDMI cable

  • LCD projector and screen (available by reservation)

  • Owl Meeting Camera for hybrid or online meetings

Advertising & Liability

Use of library meeting space does not imply library sponsorship or endorsement of views or activities.

All meetings and presentations held at the Greensboro Free Library are part of an open and free exchange of views and may not necessarily represent the views of the library.

If an event is advertised, promotional materials must include the following statement:

“Meetings and presentations held at the Greensboro Free Library are part of an open and free exchange of views and may not necessarily represent the views of the library.”

The library is not responsible for items brought by attendees and does not assume liability for individuals or groups using the space.

Fees

  • Meeting rooms are provided free of charge for nonprofit, educational, and community use
